Does CivilPro require a contract? What is the subscription term?
CivilPro is available as an annual plan.
Payment is by invoice. At the end of your term a renewal invoice will be sent 1 month prior to renewal.
What is a User vs an Associate?
A Full User requires a paid seat. An Associate is a free user with limited CivilPro access.
A User is a full user, with full access to CivilPro. An Associate is a limited user that can be limited to the following roles:
Field Agents
- Annotating checklists (verifying, checking).
Approval Agents
- Responding to user requests & signing off.
How many Associates do we get on a plan?
Right now, all users get 200 Associates for free. However, this may change in the future.
We need to add/remove users to our team. How will that be billed?
We’ll send you a quote with a one-time, prorated charge to cover your additional users for the remainder of the current billing period.
If you want to remove users, any reductions in price will take affect at the start of the next billing period.
Can our team cancel our subscription at any time?
Yes. While we’ll be sad to see you go, CivilPro is an annual service that you may cancel at any time. There are no commitments and no long-term contracts.
What happens if we cancel our subscription? Can we get a refund?
You can cancel CivilPro at any time and can continue using it until the term you have paid for has finished. For example, if you cancel 9 months into your annual term, you will be able to continue using CivilPro until the end of the year. At the end of the year, you will not be charged and you will no longer be able to access CivilPro.
We have a strict no-refund policy. As CivilPro is an annual service, you can simply cancel at any time and continue using CivilPro until your paid term comes to an end.
What happens to our server and data if we cancel?
If you cancel CivilPro, you have two options:
- Continue paying the server fee. This will keep your server up and running so that your team can keep and view the data. Your team just won’t be able to edit anything.
- Cancel the server fee and request a backup of your data. The CivilPro team will deliver a backup file to you. However, it will be your responsibility to retain it.
Note: Even if you fully cancel your server (with the back-up), you can return to CivilPro at any time, and you would only pay a small sever set-up fee so that our team can restore your server and load your backup data. If you don’t want this hassle – you are better off paying the small server fee.

What plan should we choose?
Cloud
The Cloud is the right choice if you want to connect the field to the office and allow your team to take CivilPro anywhere. The Cloud’s biggest benefit is that it is not tied to any device. All your team need is the internet!
Desktop
The Desktop is the right choice if you do not need to connect the field to the office, and you are happy for CivilPro to be tied to individual computers. The Desktop also has more features (primarily around Project Controls and Cost Management), so if this is what you are wanting to focus on right now, the Cloud is not an option (although we will be releasing these features in the Cloud over the coming months also).
Plus
The Plus plan is really a no brainer. You get the best of the Desktop and the Cloud. The User pack costs remains the same, but each User gets the Desktop and the Cloud, for just an extra plan cost (just a few hundred dollars more over the course of a year)!
There really is no wrong choice though. Just start with what you think will work best for your business and project needs. Or, contact our Sales Team for advice.
How does the user tier/pack system work?
Once you have chosen your plan (Desktop, Cloud or Plus), you then need to select a user pack.
CivilPro users have been put into packs (with volume discounts) to simplify the tier system and provide you with the most amount of value possible.
However, you can purchase any number of seats that you require. You are not forced into buying fixed seats based on the tiers/packs. Your per user cost will be determined by the tier below it. For example, if you wanted 3 users, your price will be determined by the 1 User pack @ $60 per user p/m.
If you want 15 users, your price would be determined by the 10 User pack @ $45 per user p/m.
